Privacy Policy

This Privacy Policy explains how easytabs.studio processes personal data when you use the website, create an account, receive our newsletter, or use the service.

Processing activities

We process your e-mail address, subscription request and confirmation times, and the consent version to send product updates. We send a confirmation e-mail before subscribing you (double opt-in). The legal basis is your consent. We retain confirmed data until you unsubscribe; unsubscribing deletes your newsletter record immediately. Unconfirmed requests are deleted after 30 days. Every newsletter includes an unsubscribe link.

Account and service security

When account features are used, we process your first name, last name, e-mail address, password hash, e-mail-verification and security information, and newsletter preference. We use this data to provide and secure your account. The legal basis is performance of a contract or steps taken at your request before entering into a contract. Account data is deleted when you delete your account, except where retention is required by law or necessary to establish, exercise, or defend legal claims.

Uploaded and shared tabs

The original tab-file upload is deleted immediately after conversion. Converted player data and related title or file-name metadata are retained so that the private playback link works. A tab is private by default; choosing Share makes it publicly available to anyone with the link. Public tab pages are marked noindex, but a link recipient can still access the content. We retain tabs for 90 days after their last access (or creation if never accessed), then delete the player data. To avoid repeat conversion, we also retain a SHA-256 fingerprint of the uploaded file with the tab during that period. Do not include personal data in tab content. You may request removal at easytabs@hogyes.com.

Backups

The database and the stored tabs are backed up nightly so that a failure does not lose your work. Backups are kept for 14 days and then deleted. This means a record deleted under the periods above can still exist in a backup for up to 14 days after that, and no longer. Legal basis: our legitimate interest in keeping the service and its data intact (Art. 6(1)(f) GDPR).

Technical logs and abuse prevention

We process IP address, request details, browser user-agent and security events in server and application logs, and use IP-based rate limits to operate the service and prevent abuse. The legal basis is our legitimate interest in service security. Routine logs are retained for 30 days unless a longer period is necessary to investigate an incident or establish, exercise or defend legal claims.

Service e-mails

We use Mailgun's EU region to deliver verification, password-reset, and newsletter e-mails. Mailgun processes the recipient address, message content, and delivery metadata on our behalf. The legal basis follows the relevant account or newsletter activity.

Analytics

With your consent, Google Analytics 4 processes pseudonymous usage data to measure page views, file-upload steps, player usage duration, and newsletter sign-ups. We do not send uploaded tab content or newsletter e-mail addresses as analytics events. A public tab URL may include a title-derived slug and is therefore sent as page location; private playback URLs are not used for analytics page-view tracking. Google Analytics event and user-level data is configured to be retained for 14 months, without resetting that period when a user returns.

Recipients and international transfers

Our processors include Contabo GmbH for hosting, Mailgun for EU-region e-mail delivery, and Google Analytics for consented analytics. Some processor account information or analytics data may be transferred outside the European Economic Area. Where required, we rely on an adequacy decision or appropriate safeguards, such as the European Commission's Standard Contractual Clauses, under the relevant processor terms.

Security and automated decisions

We use reasonable technical and organisational measures, including access controls, encryption in transit and restricted operational access, to protect data. We do not make decisions based solely on automated processing that produce legal or similarly significant effects about you.

Your rights and choices

You may request access, rectification, erasure, restriction, portability, or object to processing where applicable. You may withdraw newsletter or analytics consent at any time without affecting processing before withdrawal. Contact us at easytabs@hogyes.com.
